Estatelab overview with key figures, lease periods and contract details

Why Estatelab exists

From Excel spreadsheets to a shared overview

When contracts, dates and calculations are spread across Excel spreadsheets and folders, someone has to keep everything up to date manually. This increases the risk of errors. Estatelab brings the information together so the whole organisation can work from the same overview.

  • Agreements and tenant information in one place
  • Shared information for following up dates and terms
  • Documentation available in one place
  • The same figures for property management, finance and leadership
Different files. Different versions.

Portfolio overview

See properties, tenancies and key figures in one place. The portfolio overview provides a shared starting point for day-to-day follow-up, whether you own the buildings or manage them for others. Connected information makes it easier to move from the overview to an individual tenancy. Use it to identify what needs attention and share the same data with management and finance.

More property work in one place

From documentation to decisions

Create a more structured foundation when lease agreements, reporting requirements and documentation need closer follow-up.

VAT reporting

Get an overview of VAT-related data for properties and tenancies. Consolidated information about floor areas and VAT recovery ratios supports reporting and follow-up with your accountant. When the use of premises changes, it is important to check the documentation and assess the consequences. Estatelab brings the data together; the VAT assessment still needs to be made.

Turnover rent

Follow up tenancies where all or part of the rent is linked to the tenant’s turnover. Lease terms, reporting periods and turnover data need to be considered together before the rent is determined. Estatelab adds structure to the follow-up. Bring a relevant agreement to the demo so we can review how the workflow fits the model you use.

Analysis

Consider rental income, floor areas and lease terms together, and use the overview to prioritise follow-up. While reporting shows the current position, analysis is about understanding what the figures mean: which agreements are approaching expiry, and what does the expiry profile look like? A shared data foundation makes it easier to ask the right questions.

Document archive

Keep lease agreements and supporting documentation in one place. This makes it easier to find the source material when a term needs checking, an agreement needs attention or your accountant needs documentation. A shared archive reduces the need to search separate folders and email threads, and makes the work less dependent on who knows the case.

Questions about functionality

Does Estatelab replace the accounting system?

No. Estatelab brings together property and lease data and connects it to financial work. The accounting system retains its role. The scope of functionality varies between integrations.

Is Estatelab an FDV system?

No. Estatelab is a financial property management system, not a technical facilities management (FDV) system. You can use an FDV system such as Propely or Famac alongside it.

Can we use Estatelab with a smaller portfolio?

Yes. Estatelab is built for commercial property portfolios of different sizes. The number of tenancies, lease terms and collaboration between owner, manager and accountant matter at least as much as the number of buildings.

What should we bring to a demo?

Describe how you work today, which accounting system you use and which tasks take the most time. If you have specific VAT or turnover rent requirements, we will use those as a starting point and clarify what the solution supports.
